Pricing questions

What counts as a user?

A named account in your organization. On Team plans and above, users are counted across your whole organization, not per device — the same person on a phone and a tablet is one user. When someone leaves, delete their account, and their place frees up right away.

What happens when we hit the ceiling?

Paid plans allow 20% headroom above the ceiling before new accounts are refused, so a new hire never has to wait for procurement. Upgrade when you’re ready.

Do you charge per device?

No. Install on as many devices as you like.

Can we pay monthly?

Plans are billed annually per organization: it matches the budget cycle most compliance teams run on and keeps the price flat. Pay two years up front and take 10% off: request an invoice.

Can a Team plan have Single Sign-On?

Yes. Single Sign-On is included in Business and above. For Team, choose Team + Single Sign-On at $1,536 a year: one license key, with the same providers and the same setup as Business. Already on Team? Add Single Sign-On partway through the year on an invoice priced to your renewal date.

Can you help us get set up?

Yes. Guided setup is a 2-hour consult for a one-time $490: we walk your IT contact through pointing Data Sync at your storage and confirm the first two devices sync, guide setup of Single Sign-On with your identity provider if your plan includes it, walk your Supervisors through the app’s features and settings, and hand over a written record of the configuration. It’s included with Enterprise and Perpetual. Book it on the purchase page.

Is there a trial?

The Starter plan is the trial: free, and the full workflow, not a time-boxed preview. The built-in demo lets you explore a populated workspace for seven days before you enter a single record.

What happens if our plan lapses?

Nothing dramatic. You keep full function for 90 days after the expiry date. After that the workspace runs on the Starter plan — existing users keep signing in and your data is never locked or deleted. Enter a renewed key and everything comes back.

Is there a one-time license?

Yes. Perpetual is a one-time organization license instead of an annual plan. It never expires and keeps everything it includes on any build. It is $36,000 one-time for up to 125 users, including the first year of new features and support; after that, an optional update entitlement renews at 20% of the license price a year. Order it by invoice, or request a quote for more users.

Do you offer discounts for non-profits, education, or public sector?

Yes — 20% off Team, Team + Single Sign-On and Business for registered non-profits, schools, and public-sector organizations. Request an invoice and tell us who you are. Founding-customer pricing is available now as well; the two don’t stack.

How do we buy a plan?

On the purchase page: pay by card, or request an invoice for a purchase order, a perpetual license or a quote. Renewals go through the same page. Your license key arrives by email within one business day of payment. A Supervisor pastes it into Settings → Plan & license once, and every device in your organization picks it up from your own sync storage.

What are the terms, and can we get a refund?

Every plan is governed by the End User License Agreement and the Privacy Policy. You can evaluate everything before you buy — the Starter plan is the full workflow at no charge, and the demo shows a populated workspace — so annual and perpetual fees are non-refundable once your license key has been issued, except where the law requires otherwise. How is a plan activated?

With a license key that a Supervisor enters in Settings → Plan & license. It’s verified on the device and shared with the rest of your organization automatically — no activation server, no account with us.
