Offline-first. Not “works offline.”
No pre-download, no photo caps, and conflicts flagged for review, never overwritten.
The inspection lives on the device, and sync is something the record does later. That one difference decides whether a signal drop costs you a checkbox or a week of rounds.
Three things “works offline” can mean
Cached. The app shows you the checklist it last loaded and lets you type. The record still lives on a server; the phone is a window onto it. Photos wait, signatures wait, and the moment the session expires the form resets.
Offline-capable. The whole workflow runs on the phone, as long as you downloaded the checklist, the site, and the assignment before you walked in. Miss the download and the inspection you didn’t plan for can’t start.
Offline-first. The device is the record. Nothing is fetched to begin, nothing waits for a round trip to finish, and connectivity only changes whether other devices have seen the work yet.
Inspection Hero is the third kind. Every record is written to a database on the device you’re holding, and there is no server of ours: when devices share work, they exchange changes through storage you own. The distinction isn’t marketing. It is where the record lives.
No pre-download step
The Checklist Library installs with the app, so the inspection nobody scheduled, in the plant room nobody expected to enter, starts the same way as any other. Accounts are created on the device. Your sites and checklists are already there. Even plan activation works with the radio off: the device verifies the license key itself.
When the signal drops mid-inspection, nothing happens
Every tap is written to the database before the screen updates. There is no form to reset and no session to expire. Keep marking items, attach as many photos as the finding needs, record video and audio, draw on a photo to circle the issue, collect the signature, submit, review, approve, and export the branded report. Close the app, reopen it the next morning, and the inspection is where you left it. With the AI Assistant on, Inspection Hero keeps drafting too, with Apple Intelligence on supported iPhone, iPad and Mac.
Time is stamped when it happens, not when it syncs
Every record carries the moment it was captured on the device, and every entry in the audit trail does too. Sync moves records; it never rewrites their timestamps. A signature binds a named person, that moment, and the record that was signed, so a six-hour gap between the basement and the parking lot leaves no gap in the trail.
Sync is where inspections usually disappear. Here is why they don’t.
- Changes queue on the device, in order, until the storage has confirmed each one.
- Photos and signatures upload before the records that reference them, so another device never sees a finding whose evidence is still on its way.
- Every upload is read back and verified before the device marks it sent. A connection that dies halfway leaves what got through in place and the rest waiting; nothing duplicates, nothing is guessed.
- It runs by itself: when the app opens, when you return to it, on a timer while it stays open, and the instant the connection comes back. Sync now is there when you’d rather watch.
- You can see what’s waiting. The Data Sync screen lists photos and recordings still to upload, and any sync problem shows as a banner on every screen until the next successful sync clears it.
Two people, one record, no signal
When two devices edit the same inspection before either has synced, the app merges field by field. A note edited on one device and a status changed on the other both land. When both changed the same field, the newer edit is kept and the conflict is listed on the Data Sync screen with both values, for a supervisor to settle or overturn. If one copy was signed and the other never was, the signed version stays and the other edits wait as a conflict. Sign-offs move only forward, so an approval on one device is never undone by a stale draft from another.
Test it yourself in five minutes
Most apps pass an airplane-mode test that starts offline. The one that matters starts online and loses the signal halfway through.
- Install the app, choose Try a demo, and open any inspection.
- Mark two items, then turn on airplane mode.
- Mark two more, attach a photo, and submit with a signature.
- Force-quit the app and reopen it. Everything is still there, including the photo.
- In your own workspace with Data Sync connected, repeat steps 2 to 4, then turn airplane mode off and open Settings → Data Sync. The photos waiting to upload go to zero and the last-synced time updates, with no button pressed.
Try the same five steps in whatever you use today.
Where it matters
Underground mines and tunnels. Ship holds, offshore platforms, and dry dock. Cold stores, plant rooms, basements, and elevator shafts. Remote pipelines, wind farms, and substations at the end of a dirt road. Hangars, rail cuttings, and disaster response, where the network is the thing that broke.
The same design also answers the sites where the record isn’t allowed to leave the building: where other inspection apps aren’t allowed.
